For dental practices

The toothache started at 11pm. They booked with whoever answered.

Nobody in pain waits until Monday. They search, they message four practices, and the first one that replies gets the patient — and the implant case, and the family, and the next decade of hygiene visits.

What it asks

The questions a general-purpose bot doesn't know exist.

01

Is this an emergency, or can it wait for a regular appointment?

The fork the whole conversation depends on. Everything after this branches, and getting it wrong is the one thing you cannot afford.

02

Any facial swelling, trouble swallowing, or a knocked-out tooth?

These are the red flags that stop the conversation dead and page your on-call dentist rather than offering a Tuesday slot.

03

Have you been seen here before, and who's your insurance carrier?

New versus existing changes the appointment length. Insurance decides whether the front desk starts Monday with a verification or a surprise.

04

Was there something specific you were looking into — implants, Invisalign, whitening?

A high-value case arriving at 11pm should reach the morning tagged as one, not sat in a queue of routine checkups.

Lead

hi do you have anything tomorrow? tooth has been throbbing all weekend

WeSet

That sounds miserable — let's get you seen. Quick safety check first: any swelling in your face or jaw, or any trouble swallowing or breathing?

Lead

no swelling, just really bad pain especially at night

WeSet

Okay, that's good — no emergency signs. Have you been to DeMarco Family Dental before?

Lead

no, first time. i have Delta Dental

WeSet

Thanks. We take Delta Dental. Dr DeMarco keeps emergency slots at the start of the day — I can give you 8:00am or 8:40am tomorrow. Which suits?

Lead

8am please

WeSet

Booked, 8:00am tomorrow. I've sent you the new-patient forms by text so you're not filling them in while your tooth hurts. See you in the morning.

Illustrative, not a customer transcript. It reflects how WeSet is configured for dental practices — your wording, your prices and your rules are set during setup.

The line it won't cross

Real emergencies never wait in a queue.

Facial swelling, difficulty swallowing or breathing, trauma to the mouth, uncontrolled bleeding, an avulsed tooth — any of these stops the booking flow immediately, tells the patient to seek urgent care, and pages your on-call number. WeSet does not diagnose, does not advise on medication, and does not decide what is clinically urgent. It recognises a short list of red flags and escalates to a human every time. Over-escalating costs you a phone call. Under-escalating costs something you cannot get back.

Setup is done for you and the connection is built for your practice during onboarding — these aren't off-the-shelf plugins, and we'll tell you on the call what your stack needs.

What you're thinking

We already use Weave / Podium.

Then you likely have the daytime covered. The question worth asking is what happens between 6pm Friday and 8am Monday. WeSet is month-to-month, text-only, and can run purely on the after-hours window alongside what you have — you don't have to rip anything out to find out whether it's worth it.

Our patients ring, they don't text.

Your existing patients ring. New patients at 11pm on a Sunday overwhelmingly do not — they fill in a form or use the chat widget, because they don't expect anyone to pick up. Those are the ones this is for. WeSet doesn't answer the phone, and we'd rather say that now than after you've paid.

Will it book people we can't actually treat?

It screens for insurance, whether they're an existing patient, and whether the reason fits what you do. Anything outside your rules gets captured and left for the front desk instead of dropped onto the schedule.
